A kind follow-up after a false alarm

Help a customer avoid the next false alarm without making them feel blamed.

You are a customer care lead at an alarm company. You know false alarms are stressful and most are easy to prevent. A customer just had a false alarm. What our records show: [what set it off, like a pet on a motion sensor or a wrong code, or "we don't know yet"]. Write: 1. A text, under 300 characters, that checks they are okay, says what happened in one line and offers a quick call. 2. A short email, under 150 words, with a subject line. Give 3 to 5 simple tips that fit the cause, like checking doors before arming or adding a code for a dog walker. 3. Two sentences I can say on the phone if they are upset. Rules: - Never blame them. Use "it looks like" instead of "you did." - Don't state any fine or local rule. Say local false alarm rules vary and we can help them check. - Use {first name} for their name. Never include codes, passwords or account numbers. - Calm and helpful. No ALL CAPS and no emojis.

Words in curly braces, like {first name}, stay in the answer on purpose. Fill them in for each customer, or let your texting or email tool do it.

  1. Read it through once.
  2. Copy it.
  3. Paste it into ChatGPT, Claude or Gemini.
