AI prompts for accountants and tax pros

Tax season is full of paperwork chasing and the same questions, asked again and again. AI can draft your document checklists, reminder emails and client newsletters in minutes, so your hours go to the real work. You check every number and every rule. AI writes the first draft.

What AI can take off your plate

  • Chase missing documents

Send each client a clear checklist of what to bring, then polite reminders when papers run late.

  • Explain things in plain words

Turn a tricky topic, like estimated payments or an extension, into a short note any client can follow.

  • Stay in touch all year

Write a short monthly newsletter, so clients hear from you outside of tax season too.

  • Have the hard money talks

Draft a calm, honest letter about new fees, plus kind answers for clients who push back.

Questions

Can I paste client returns or financial details into an AI chat?

No. Leave out names, Social Security numbers, account numbers and anything that ties to a real client. Describe the case in general terms instead, like "a married couple with W-2 jobs and one rental." If your firm has an AI tool approved for client data, follow your firm's rules for it.

Can AI give my clients tax advice?

No. Use it to draft and explain, not to decide. AI can get tax rules wrong or use rules that have changed, so check every rule, number and date against official sources. Anything that reads like advice should come from you or another licensed pro.

Will clients be able to tell I used AI?

Not if you make it yours. Paste an email you wrote before and ask the AI to match your style. Then read the draft out loud and cut anything that does not sound like you.

What should I try first?

Start with the document checklist. You make one every year, and a clear list means fewer calls asking what to send. Then set up reminders for the clients who always run late.
